Doctor appointment booking with AI means a voice assistant answers your clinic number, checks which slots are actually free for the service the patient wants, and books one while the patient is still on the line. MySA Business does this round the clock, in the language you choose for the number, and the patient gets a WhatsApp confirmation straight after. The AI takes bookings; it does not give medical advice, and clinical questions go to your staff.

This guide is for doctors, dental and physiotherapy clinics, diagnostic centres and small hospitals in India that want hospital call automation for bookings because the phones ring more than the desk can handle.

Online doctor appointment booking has grown, yet most patients still phone or WhatsApp to ask if the doctor is in tomorrow. Those clinic appointment calls land during morning OPD, at lunch and late at night, and an unanswered one often becomes a booking at the next clinic.

## How doctor appointment booking with AI works

The setup lives in two places: your [Appointments](/features/appointments) calendar and your inbound number.

**The calendar.** Pick Clinic or Dental (or another type) for a starter list of services, then set each one's duration and charge: a 15-minute consultation, a 45-minute cleaning, a 30-minute physio session. Each doctor, chair or bed is a "seat" you can name after the doctor. Add days, hours, lunch break, minimum notice and how far ahead patients may book.

**The number.** Inbound is switched on per number, so the AI can answer the main clinic line while another stays with staff. Choose the language the AI speaks, or let it follow the caller. See the [inbound calls guide](/docs/inbound-calls).

**On the call, the AI can:**

- check free times for the service and day the patient asks for, and offer the nearest free times if that one is taken;
- offer only slots long enough for the service, never during lunch break;
- book once the patient picks a time and gives their name (the number is taken from the call, so it never asks for it);
- move or cancel the caller's own upcoming booking, asking briefly why and saving the reason on the booking.

It makes at most one booking per call, and bookings show on the calendar straight away, marked as made by the AI.

## Example: a dental booking call

> **Example** (inbound call, clinic number, Hinglish)
>
> **Patient:** Hello, Dr. Rao ke paas root canal ka consultation chahiye. Saturday ho jayega?
>
> **AI:** Saturday ko Dr. Rao ke saath 10:30 aur 12:00 baje slot khali hain. Consultation 20 minute ka hai. Kaunsa time theek rahega?
>
> **Patient:** 12 baje. Aur dard bahut ho raha hai, koi dawai le loon?
>
> **AI:** Dawai ke baare mein doctor ya clinic staff hi bata payenge. Pehle aapka naam bata dijiye, 12 baje ka slot book kar deti hoon, phir staff se jod deti hoon.
>
> **Patient:** Neha Sharma.
>
> **AI:** Ho gaya, Neha ji. Saturday 12 baje Dr. Rao ke saath. Confirmation WhatsApp par aa raha hai.

The slot is booked; the medicine question goes to a person, as the purpose asks.

## What the patient receives on WhatsApp

Once a booking is confirmed, the patient gets WhatsApp messages for each step:

- **Confirmation** with service, date, time, your address, Google Maps location and clinic number.
- **Change**, if the time is moved.
- **Reminder** before the visit, 3 hours ahead to start with (you can set anything from 30 minutes to a day).
- **Cancellation**, with your number to book again.

These patient appointment reminders go out without anyone at reception sending them. You can also switch on a reminder call in which the AI asks whether the patient is coming. More on that in [automated appointment reminder calls](/blog/automated-appointment-reminder-calls).

## What the AI does with common patient requests

| Patient says | What the AI does |
|---|---|
| "Kal Dr. Mehta ka slot hai?" | Checks Dr. Mehta's free times for tomorrow and offers them |
| "What is the consultation fee?" | Answers from the Business Details you approved |
| "Mera appointment Monday kar do" | Moves their own booking to a free Monday slot and records why |
| "Abhi busy hoon, shaam ko call karna" | Schedules a follow-up call for that time, in the same language |
| "Doctor se baat karni hai" / "Reception please" | Transfers the call to your front desk if call transfer is set up |
| "Is this fever serious? What should I take?" | Does not advise; passes the question to your staff as your purpose instructs |

## Keep the AI at the front desk, not in the consulting room

Every assistant follows a "purpose" in plain language. For a clinic, keep it narrow: take, move and cancel bookings; answer timings, fees, address and doctors' days; never discuss symptoms, medicines, reports or diagnosis, and offer the staff instead. The AI answers only from the Business Details you approved, so it will not invent fees.

When a caller asks for the doctor or reception, [call transfer](/docs/call-transfer) rings a number you set (say "Front desk"), briefs your colleague, then connects the patient. Add a rule such as "when they ask about reports or symptoms". Transfer minutes are billed separately, at the transfer rate shown in your workspace. Without transfer, the request lands in Follow-ups as "Call from a person" for your team to ring back, while "call me later" gets an automatic follow-up call at the time the patient asked.

## Night hours, WhatsApp chats and your team

**DND hours.** A daily quiet window holds outbound calls, such as follow-ups, until morning. Inbound answering is not blocked by default, so an 11 pm caller can still book.

**WhatsApp chats.** Many patients just type "kal ka slot hai?". [WhatsApp smart reply](/features/whatsapp-smart-reply) answers timings and fees in the patient's language. With intent-based calling, when a chat shows booking intent the AI asks once whether the clinic may call; on yes, an AI call goes out with the chat summary and can book the slot.

**Your team's view.** Every call leaves a recording, AI summary, sentiment and tags, but no turn-by-turn transcript. The Lead Feed sends leads by email, Google Sheet, webhook or API, and bookings can be copied to a Google Sheet you own.

**One limit:** bookings live in MySA's Appointments calendar, with no sync to hospital or clinic management software. For the wider front-desk role, see [AI receptionist for clinics](/industries/clinic-ai-receptionist).

## Frequently asked questions

### Can the AI give medical advice or tell patients what medicine to take?

No. Write the purpose so the AI only handles bookings and front-desk questions, and passes anything clinical to your staff or transfers the call.

### Will the AI book a slot that clashes with another patient?

No. It offers only free times that fit the service's duration, follows your lunch break and booking rules, and two bookings can never hold the same seat at the same time.

### Can patients book with a specific doctor?

Yes. Each doctor can be a named seat on the calendar, so the AI can check and book that doctor's free times.

### Does it work with our existing hospital or clinic software?

No. The AI books into MySA's Appointments calendar. You can copy bookings to a Google Sheet, but there is no sync with other clinic software.

### Can the AI answer calls at night and on Sundays?

Yes. Inbound calls are answered 24/7 unless you choose to block inbound calls during your DND hours.

### Which languages can patients speak in?

Hinglish is the default. Hindi, English, Tamil, Telugu, Marathi, Bengali, Kannada, Malayalam and others can be chosen as the call language; try one on a free Test call first.
