GST filing reminders for clients are the calls a CA firm or tax consultant makes every month before the return dates: "please send this month's sales and purchase bills", "your GSTR-1 is due", "the tax payment is pending". With MySA Business, an AI voice assistant makes those routine calls from your firm's number, in Hindi, Hinglish, English or another Indian language, notes what each client said, and calls back the ones who asked for later. Your team keeps the filing and the advice; the AI keeps the list moving.

## The calls that fill a CA office every month

Most small and mid-size firms file for dozens of clients, and the same few conversations repeat before every due date:

- **Bills not received.** The client has not shared sales, purchase or expense bills for the month.
- **Date reminder.** The return date is close and the data is still incomplete.
- **Payment pending.** The tax amount is known and the client has to pay it.
- **One question back.** "Is this purchase bill enough?", "Can I send it on WhatsApp?"

Each call is short. There are simply a lot of them, and they all land in the same week. For monthly filers, GSTR-1 is commonly due on the 11th and GSTR-3B on the 20th of the following month, while quarterly (QRMP) filers have their own dates. Dates can move by government notification, so confirm them on the GST portal and set the reminder days from your own calendar.

## Set up a Scheduled campaign for GST reminders

A **Scheduled** campaign takes one contacts file and calls it over several days instead of all at once. For GST reminders, **On dates I pick** fits best: the whole client list is called again on each date you choose, for example five days before GSTR-1 and three days before GSTR-3B.

| Option | How a CA firm can use it |
| --- | --- |
| **On dates I pick** | Every client, on the reminder dates before each return |
| **Every few days** | A shorter list of slow clients, called again every few days until the date |
| **Split over days** | A large client base spread out, so callbacks do not all arrive on one afternoon |

### Step by step

1. **Prepare the client file.** An Excel or CSV file with each client's mobile number and name. Columns named `var1` to `var15` let each call carry its own details. With a purpose like "Namaste {var1} ji, {var2} ke liye is mahine ke bills abhi tak nahi mile", `var1` is the client's name and `var2` the business name.
2. **Choose Scheduled.** In **Calling → Campaigns → Create**, pick the **Scheduled** card and write the purpose in plain words, such as "remind the client to send this month's bills for GST filing and ask when they will send them".
3. **Pick the dates.** Under **How should this list be called?**, choose **On dates I pick**. The start date is Round 1; click more dates in the calendar to call the list again on them.
4. **Untick Skip people already reached.** It is on by default and leaves out anyone who spoke on an earlier round. For reminders you want them called again, because a client who answered on Round 1 may still not have sent the bills.
5. **Set the times.** Round 1 starts at your start time; **Round 2 onward starts at** sets the time for the later rounds. Start times must be between 9:00 AM and 9:00 PM IST.
6. **Check the plan and create.** The form shows the total before anything is made, for example **3 rounds × 100 people = up to 300 calls**, and **When the calls go out** lists each round's date and time. Then create the campaigns.

Each date becomes its own campaign, named like **GST Reminder · Round 2/3**, with its own test call, pause, stop and report. Calls never go out inside your [DND hours](/docs/dnd); they wait until the window opens.

### Following and stopping the rounds

On the **Queue**, the whole schedule shows as one card with its overall progress. **Round-wise report** opens one row per round: calls made, clients reached, and **New** (clients reached for the first time in that round), so you can see whether the last reminder was worth it. **Stop all** stops every round that has not finished; clients not yet called are not called and not charged, and calls already on the line finish normally.

Two limits to plan around: all rounds fall within 60 days of Round 1, with at most 10 rounds, so set up a new schedule every month or two. The full reference is in [Scheduled campaigns](/docs/campaigns#scheduled-campaigns), and the overview on [Campaigns](/features/campaigns).

## A reminder call, as the client hears it

> **Example**
>
> **AI:** Namaste Sharma ji, main ABC & Associates se bol raha hoon. October ke sales aur purchase bills abhi tak nahi mile hain. Kya aap aaj bhej payenge?
>
> **Client:** Abhi shop par hoon, shaam ko WhatsApp kar dunga.
>
> **AI:** Theek hai, shaam tak bhej dijiye. Main kal subah ek baar confirm kar lunga.

The firm and the client are made up. After the call, the firm sees a recording, an AI summary ("bills on WhatsApp this evening") and sentiment in **Call Logs**. Because the client asked to be called again, a follow-up is scheduled for the next morning, in the same language. Collecting the bills on WhatsApp is still your team's job; the summary just makes sure nobody forgets who promised what.

## When a client says "later", asks a question, or wants the CA

Three things happen often on these calls, and MySA keeps them apart:

- **"Kal call karna".** The AI picks up the time and adds it to **Follow-ups**. With **Auto-callback** on, it dials at that time; otherwise someone presses **Call now**. More on this in [how to handle "call me later"](/blog/how-to-handle-call-me-later).
- **A question the AI cannot answer.** If a client asks something your Business Details do not cover, such as whether a particular bill is valid for credit, the AI does not guess. The follow-up is marked **Action required**; you type the answer once and the AI calls the client back with it.
- **"CA sahab se baat karni hai".** The follow-up becomes **Call from a person** and MySA never dials it with the AI. If you would rather connect the client during the call, set up [Call transfer](/docs/call-transfer) to a named number such as "Partner" or "Accounts".

## The document list on WhatsApp

A call is good for "please send it today". The list of what to send is better in writing. With **Broadcasts** enabled, the workspace Owner sends one approved WhatsApp template to a list, now or scheduled, through a connected Meta WhatsApp or Automate Chats account, and numbers on the **Opted out** list are always left out. Details are in [WhatsApp broadcasts](/docs/whatsapp-broadcasts).

## What works today, and what it does not do

| Works today | Does not do |
| --- | --- |
| Reminder calls to your whole list on the dates you pick | File returns or log in to the GST portal |
| Client name and details in each call (`var1`–`var15`) | Give tax advice or decide what is claimable |
| Call-backs at the time the client asked | Read the bills a client sends |
| Questions held for your answer, then a call back | Track GST due dates by itself; you set them |
| Recordings, summaries and a report per date | Send SMS or email |

## Getting started

1. [Create a workspace](/signup) and verify your mobile number to get ₹100 of Test credit in the separate **Test** environment.
2. Write your Business Details: office timings, how clients should send bills, and who to contact for what.
3. Press **Try now**: the AI rings your own phone. Ask it what a client would ask.
4. Make a small test file with three clients and `var1` for their names, and run a Scheduled campaign with **On dates I pick**.
5. Go **Live**, top up the prepaid wallet, and upload your full client list.

Calls of 10 seconds or less are free; longer calls are billed per started minute. The rate for your workspace is shown in the console. [Talk to sales](/contact) for volume pricing.

## Frequently asked questions

### Can the AI remind clients about GST due dates every month?

Yes. A Scheduled campaign with On dates I pick calls the whole client list again on each date you choose. All rounds must fall within 60 days, so set up a new schedule every month or two.

### Will a client who already answered be called again in the next round?

Only if you untick Skip people already reached. It is on by default; for reminders, turn it off so every client hears each reminder.

### Will the AI tell my clients how much tax they owe?

Only if you put that figure in the call file yourself, for example in a var column. The AI does not calculate tax or give tax advice.

### What happens when a client says they will send the bills tomorrow?

The AI schedules a follow-up for the time the client asked. With Auto-callback on, it calls them back then, in the same language.

### Can a client speak to the CA during the reminder call?

Yes, if Call transfer is set up. The AI briefs the person you named and connects the client; transfer minutes are billed separately.

### Do the calls go out at night or on our off hours?

Not inside your DND hours. Calls that fall in the quiet window are held until it ends.
