# WhatsApp Chatbot for Business: How It Works

> A practical guide to a WhatsApp chatbot for business: rule-based bots versus AI replies grounded in your own details, team inbox, live data and calls.

A WhatsApp chatbot for business is software that answers the messages your business number receives, so customers get a reply in seconds even when nobody is free to type. The older kind follows fixed menus and keywords; the newer kind, an AI chatbot, reads each message and writes an answer from information you approved. MySA Business takes the second approach: it answers from your own Business Details, in the customer's language, while your team can still read and reply to every chat.

## Two kinds of WhatsApp bot

Most owners who have tried a WhatsApp bot for small business have met the rule-based kind. It sends a numbered menu ("Reply 1 for prices, 2 for timings"), matches keywords, and walks the customer down a decision tree someone built in advance.

That works for questions you predicted. It breaks on the messages real customers send:

- "Kal Sunday hai, open ho? aur parking hai?" (two questions, one message, Hinglish)
- A long message that mixes a complaint with a new order
- A question the tree never covered, which ends in "Sorry, I did not understand"

An AI chatbot does not need the tree. It reads what the customer actually wrote and answers it. The catch is obvious: an AI that answers freely can also make things up. So the question to ask of any WhatsApp AI chatbot is not "is it AI?" but "what is it allowed to answer from?"

| | Rule-based bot | AI reply grounded in your details |
| --- | --- | --- |
| Handles free-form questions | Only if a keyword matches | Yes |
| Mixed or Hinglish messages | Often falls back to the menu | Answers in the language the customer wrote |
| Setup | Build menus and branches | Write your Business Details once |
| Risk | Customer stuck in a loop | Must be limited to approved facts |
| Updating | Edit every branch | Edit the details, or add today's note |

## How AI replies on WhatsApp work in MySA Business

You link your existing number through WhatsApp's **Linked Devices** screen, using a pairing code or a QR scan. You pick the Business Details category that number answers from, then switch on **Smart reply (AI)** for it.

From then on, each message is answered from that category: your services, prices, timings, location and policies, as you wrote them. If something is not in your details, the AI does not invent a price or a policy to fill the gap. That one rule is what makes AI replies on WhatsApp safe to leave running overnight.

A few settings shape the replies per number:

- **Wait after last message.** Customers send three short messages in a row. The AI waits a few seconds (3 by default, up to 30) and answers all of them in one reply.
- **What this number should do.** A goal for every chat, such as "get a name and a preferred visit day".
- **Today's update.** Something true only today, like "Closed after 4 pm for stock-taking". The AI uses it on top of your details.
- **Business hours only.** Limit AI replies to 9 am to 9 pm if your team prefers to handle late messages in the morning.

The full walkthrough is in the [WhatsApp documentation](/docs/whatsapp), and the overview is on [WhatsApp Smart Reply](/features/whatsapp-smart-reply).

## The inbox and the exceptions list

In MySA every chat on every connected number appears in **Conversations**. Anyone with access can open a thread, see the customer's messages and the AI's replies side by side, and type an answer by hand.

There is no automatic hand-over to a person: the AI does not decide on its own to step aside. Your team simply joins when a chat needs them.

The **Exceptions** list keeps your own, family and staff numbers out. Numbers on it get no automatic replies and no automatic calls, and their WhatsApp calls ring through to you. Their messages still show in the inbox.

## Live data: answers that change every day

Business Details cover what stays the same. Some answers change daily: a rate, stock, an order's status. If your workspace has Custom APIs enabled, the Owner adds your own API under **Integrations → My APIs**, and you tick it under **Live data in replies** for that WhatsApp number. The AI then reads the current value before it answers.

That turns "please call the shop for today's price" into an actual answer. Details are on [Custom APIs](/features/custom-apis).

## From chat to call: intent-based calling

Some chats should become a phone call. MySA offers two ways, both optional:

- **Intent-based calling** (in the console: **Call when the customer agrees**). When a chat shows buying intent, such as price, booking, availability, a visit or a quote, the AI asks once whether your team may call. On a yes, an AI call goes out in the customer's language with a summary of the chat as context. On a no, it keeps helping in the chat and does not ask again.
- **Keyword Auto-Call.** A message containing a keyword you chose, such as *book*, can be answered with an AI call instead of a text, with a minimum gap and a daily cap per customer, plus wallet and DND checks.

At most one chat-started call a day goes to the same number across WhatsApp, Instagram and Facebook together.

> **Example**
>
> **Customer:** Hi, 3BHK cleaning ka rate kya hai? Saturday possible?
>
> **AI:** Hi! 3BHK deep cleaning is listed in our current rate card, and Saturday slots are open in the morning. Shall our team call you to fix a time?
>
> **Customer:** Haan, call karo.
>
> *An AI call goes out in Hinglish, opening with what the customer asked.*

## What a WhatsApp chatbot will not do here

- It cannot listen to voice notes. A customer who sends only a voice note gets a fallback message you write.
- It cannot answer a WhatsApp voice call. Missed calls can be texted back instead; see [WhatsApp auto reply for business](/blog/whatsapp-auto-reply-for-business).
- It does not send email or SMS, and it does not message your whole contact list unprompted. Sending an approved template to a list is a separate tool, [WhatsApp broadcasts](/docs/whatsapp-broadcasts).

## Getting started

1. [Sign up](/signup) and verify your mobile. Every workspace has a separate Test environment, and ₹100 of Test credit is added once the owner's mobile is verified.
2. Write your Business Details carefully. The AI is only as good as what you give it.
3. Connect your number, switch on Smart reply, and message it from another phone. Ask it something awkward.
4. Add family and staff to Exceptions before going live.
5. If you want chats to become calls, use **Try now** to hear an AI call on your own phone first.

There is no subscription; calls are paid from a prepaid wallet. For volume pricing, [contact sales](/contact).

## Frequently asked questions

### Is a WhatsApp AI chatbot the same as WhatsApp Business quick replies?

No. Quick replies are saved messages a person picks and sends by hand. An AI chatbot writes each answer itself from your Business Details and sends it without anyone typing.

### Will the AI make up prices if a customer asks something new?

It answers only from the Business Details you approved and any live data you connected. If the answer is not there, it does not invent one.

### Can I use my existing WhatsApp number?

Yes. The number is linked as a device using a pairing code or a QR scan, the same way WhatsApp Web is linked, so you keep the number customers already know.

### Can my staff reply in the same chat?

Yes. Every chat is in the Conversations inbox and anyone with access can reply by hand at any time. The AI does not hand chats over automatically.

### Does every message turn into a phone call?

No. Calls happen only if you switch on intent-based calling or Keyword Auto-Call, and then only within the gaps, daily caps, wallet balance and DND hours you set.

### Is a WhatsApp bot useful for a very small business?

Usually yes, because a small team is exactly the one that cannot watch the phone all day. Start in the Test workspace and see how it answers your own customers' typical questions.
